Job Description

The Senior Executive Assistant supports the President - Content. You will be responsible for the day-to-day workings of the leaders you support. It goes without saying that there will be expense reports, travel planning, phone messages and lots of calendar management, but this job is very much about people. The relationship you build with the executives you support is absolutely critical because that’s what enables you to become a true partner. In addition to understanding your executive’s business - and business needs - inside and out, you’ll also need knowledge of the leadership and workings of ESPN and of related departments across the Disney enterprise. As the “face” of your executives within The Walt Disney Company and with your leader’s external clients, your professionalism, loyalty, and attitude are a reflection of the office, and as such, are a key component to its success.

Responsibilities
  • Assists the President in providing a wide range of administrative support functions focused upon the President’s needs in carrying out the responsibilities of their position
  • Conducts a wide range of assignments derived from the duties and responsibilities of the President’s office. Specific functions performed may include: coordinating and maintaining the appointment calendars; gathering and abstracting materials for such events as meetings, conferences and presentations; administering travel arrangements and related travel and entertainment expense reports; answering and screening incoming calls; reviewing and categorizing incoming correspondence / memoranda / emails; preparing routine correspondence, memoranda and e-mail communications; coordinating receptions / lunches / dinners; attending staff meetings and taking and editing notes of such meetings; maintaining contact lists and databases
  • Serve as ticket liaison, responsible for arranging tickets and event credentials, including last minute requests, working in coordination with event and programming teams
  • Arranges visits and tours for executive leaders, client representatives, affiliates, sponsors, regulators and legislators; screens and responds to executive and employee requests; arranges and coordinates interviews with representatives of the media and often participates in the interview process
  • Supports the administration, logistics and flow of the work for the President’s office; tracks and follows-up on key “to-do” items on behalf of the President
  • Executes complex tasks to support the President’s office
  • Maintains the highest standards of confidentiality and tact
  • Decisions and recommendations are subject to general review and often are made in collaboration with the President
  • Often suggests new ideas, innovations, and concepts to the President
  • Contributes to the processing efficiencies of the President’s office through personal time management and organization of work
  • Interacts with a wide variety of senior ESPN and TWDC executives and key external contacts on behalf of the President
  • Interacts with high-level representatives and executives of the media, clients, affiliates, and public figures on behalf of the Present and VP; often coordinates and participates in meetings and interviews with these contacts
  • Builds and enhances relationships and interactions with the senior-level contacts and colleagues of the President and VP, both internally and externally
Basic Qualifications
  • At least 5 years of executive support, administrative, or business support experience in an environment with an emphasis on scheduling meetings, event coordination, travel management, and administrative tasks
Preferred Qualifications
  • Experience supporting all levels of executive/upper-level management
  • Demonstrates the following: time management, organizational skills, conflict management, business acumen, planning, priority setting, decision quality, excellent verbal and written communication, and computer proficiency
  • Has and applies advanced experience in the conduct of several administrative processes and procedures carried out in the organization directed by the assigned executives
  • Has advanced knowledge of the administrative processes carried out by the assigned executives and those of the organization directed by the assigned executive
  • Has advanced knowledge of Microsoft Office applications, databases used by the executive supported
  • Has advanced knowledge of many administrative functions and processes
  • Has advanced research and data analysis skills
  • Has highly advanced skills in communication and diplomacy; has sensitivity to the purposes and motivations of the persons desiring contact with the assigned executive; is able to work effectively with a diverse group and individuals
  • Has a highly advanced ability to organize work, able to set priorities and has advanced multi-tasking skills

  • High school diploma or equivalent
