Job Description

This position is responsible for overseeing, supporting, and assisting Event Managers and Executive Director of Operations on event prep, execution and post administrative activities for both internal and external events.

Candidate must be very organized and be able to manage logistics of multiple events and details simultaneously.
 
Responsibilities to include, but not limited to:
  • Team player with high level of dedication.
  • Answer Event Manager’s calls as needed or requested.
  • Maintain a working relationship with all vendors, especially from preferred list!
  • Understanding & anticipating the complex needs of different events and diverse clients/markets.
  • Ability to plan all event aspects, such as checking availability & securing venue, acquire quotes from florists, entertainment brokers, rental furniture, games/activities, etc.
  • Completes requests for setup and rental orders as needed.
  • Administers Pull Sheets.
  • Ensures labor is assigned to the appropriate project numbers.
  • Maintains Master Calendar and Event Manager Calendar.
  • Liaises with sales staff, accounting, finance and other departments as necessary.
  • Manage guest list and generates Gate Passes for site tours and day of event.
  • Strong knowledge of venues and vendor offerings to promote with client while on site tour.
  • Attentive to the value of staying under budget while planning event specifications.
  • Assisting with overseeing events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and, organizing vendors.
  • Creating sales opportunities for future events during client liaisons and during events.
  • Possess strong communication skills, and the ability to present event ideas and plans to client and vendors.
  • Handles S.O’s, P.O.’s, COI’s and Vendor Lot Agreements.
  • Handles all additional responsibilities as assigned including after-hour and weekend events.
Basic Qualifications:
  • 2+ years experience in an administrative role.
  • Strong computer proficiency – Word, Outlook, Excel, Power Point, and, Accounting programs.
  • Previous experience handling basic accounting, and, purchase orders.
 Additional Qualifications:
  • Bachelor’s degree, preferred.
  • Basic event coordination training.
  • Special Events background in coordinating, including vendor relations.
  • Customer Management programs.
  • Detail oriented, strong multi-tasking abilities.
  • Good oral communication skills in order to interact with company personnel and outside parties.
