Job Description

As an Office Coordinator, you will provide administrative support to NBC10, Telemundo62, and NBC Sports Philadelphia senior leadership team. Person will serve as the office liaison, communicating with internal NBCU divisions and with external businesses.

Responsibilities
  • Schedule meetings and maintain daily and long-term calendar management
  • Responsible for proactively managing/coordinating daily schedule/calendar, contacts, travel arrangements, meetings (internal and external), conferences, and seminars for senior leadership team
  • Booking conference rooms and venues for meetings, offsites, and presentations
  • Coordinate senior executive meetings and prepare confidential and executive materials
  • Arrange and coordinate all travel arrangements, such as booking air and ground transportation, and making hotel and restaurant reservations for senior leadership team
  • Order and maintain office supplies and arrange for office equipment repair and maintenance
  • Additional duties and projects as assigned
  • Responsible for the timely preparation/compilation of data/edits and distributing reports, forms, and documents. 
  • Creates and edits presentations, agendas, spreadsheets, communications, databases, and reports.
  • Responsible for excellence in meeting/event preparation, set-up, and follow-up including preparing presentations/agendas/materials, documenting notes, and coordinating follow-up items to completion, arranging for food/drink.
  • Handle office duties such as incoming mail/packages and booking conference rooms and IT support for in-office meetings
  • Support HR team with employee engagement initiatives
Qualifications
  • Bachelor’s degree or equivalent experience.
  • Minimum of 3 years’ experience in an office/administrative support role
  • Excellent written and verbal communication skills
  • Extremely computer savvy with proficiency in MS Office and Concur
  • Demonstrable capability in supporting senior executives within fast moving organization
  • Superior interpersonal skills with a pleasant, positive demeanor
  • Ability to multi-task and handle competing priorities effectively
  • Resilient and Resourceful - must be able to work effectively with the minimum amount of supervision
  • Ability to research and source ad-hoc information independently
  • Superior organization and time management skills
  • Ability to handle confidential information professionally
  • Must be willing to work in Philadelphia
  • Must have unrestricted work authorization to work in the United States
